Job description.

 

 

Reporting directly to the Senior Supervisor Immigration Admin , the incumbent's primary role will be to manage all administrative procedures related to visas and work permits for employees and contractors, whether nationals or expatriates. This includes preparing, submitting and monitoring files with government authorities, as well as coordinating operations related to international travel. He/she will also ensure compliance with applicable regulations and help maintain effective relationships with internal and external partners.

 

 

He/She will have, among other things, the following essential functions (non-exhaustive):

 

•    Prepare and submit work card files for KCC agents and contractors : This includes collecting all necessary supporting documents, verifying their conformity and forwarding the files to the competent government institutions such as the DGM or the Labor Inspectorate, ensuring the speed and accuracy of the information;
•    Prepare and submit work establishment visa (VET) files : This includes compiling the documents required for obtaining work visas for expatriates, submitting them to the relevant authorities and rigorously monitoring their processing until the necessary authorizations are obtained;
•    Prepare administrative letters : This includes drafting official correspondence such as letters of termination of contract, return of work card or cancellation of VET, ensuring their legal compliance and their transmission to internal and external stakeholders;
•    Prepare and apply E-VETS for contractors : This includes the electronic management of work establishment visa applications for contractors, using dedicated platforms and systems, and ensuring compliance with deadlines and digital procedures;
•    Prepare visa application files for Congolese KCC agents traveling to other countries: This includes preparing visa files for Congolese employees traveling abroad for professional reasons, including verification of consular requirements and coordination with embassies or consulates;
•    Applying flying visas for KCC agents : This includes managing short-stay or emergency visa applications, often required for unforeseen travel or specific missions, ensuring maximum responsiveness and efficiency;
•    Request payment for visa fee reimbursement and certify payments : This includes initiating the reimbursement processes for fees incurred for visas and work cards, verifying supporting documents and certifying amounts before submission to the finance department;
•    Follow up on payments with the finance department : This includes ensuring constant communication with the finance department to follow up on payment files, ensuring their timely processing and resolving any anomalies or delays;
•    Classify physical and electronic files : This includes the systematic organization and archiving of all documents related to visas and work cards, both in paper and electronic form, ensuring traceability and easy access to information;
•    Update the database : This includes maintaining up-to-date information on visas, work permits and employee movements in the internal database, ensuring data reliability for reporting and planning.

 

 

Job requirements .


Qualifications and experience.

 

•    Hold a minimum of a University Diploma in Law, Economics and Social Sciences, management or similar disciplines;
•    Have at least three (3) years of professional experience in visa or immigration matters. With in-depth knowledge of the different types of visas applicable in the DRC;
•    Have proven experience in expatriate management.

 

Technical skills.


•    Glencore 's compliance policies and procedures ;
•    Have mastery of IT tools (Microsoft Office suite, database management software);

•    Have excellent written and oral communication skills;
•    Have organizational and time management skills;
•    Have the ability to analyze and plan;

•    Have a working command of French and English;
•    Having a mastery of Congolese labor legislation is an asset;
