Job description
The Specialist Contracts plays a crucial role responsible for managing the acquisition of goods and services, ensuring compliance, cost control, and risk management within supply chain operations. This involves procurement, contract management, and strategic sourcing responsibilities, reporting to the Lead - Sourcing and Contracts.
His/Her responsibilities will include, but are not limited to:
1. Contracts Management
- Responsible for leading and hands-on work with contracts and procurement to ensure the timely delivery of services and materials of the right quality and quantity to customers at the best total cost of ownership.
- Overseeing and participating in the acquisition process, sourcing using platforms like Coupa, and implementing global contract management standards.
- Manage the tender processes, facilitate the selection of service providers, develop contract documentation, and support ongoing contract management.
- Managing relationships with existing suppliers, selecting and developing new suppliers, and negotiating contract terms to ensure value for money, quality standards, and delivery terms.
- Assessing tenders from potential suppliers and implementing systems to measure their effective performance.
2. Compliance and Risk Management
- Ensuring compliance with purchasing policies, guidelines, standard operating procedures, and relevant documents
- Reviewing existing contracts for lessons learned, providing input on draft agreements, and ensuring all contracts align with internal guidelines for commercial commitments and risk policies.
- Proactively resolve complex issues and assist buyers, demonstrating innovative thinking in purchasing goods and adjudicating services.
3. Supplier and Stakeholder Relationship Management
- Develop and maintain relationships with both internal customers and external suppliers.
- Negotiate pricing, delivery, payment terms, and other cost-saving initiatives.
- Leading preferential supplier monthly meetings to drive partnerships and build sustainable business activities.
- Support contracting needs with end user areas and identify and develop suppliers in the market.
4. Strategic Sourcing and Cost Optimization
- Supporting the continuous improvement and execution of the purchasing strategy, policies, and guidelines regarding materials categories and contracts, focusing on cost savings and other performance metrics
- Acquire services and materials at the best total cost of ownership, considering the terms of execution and quality conditions.
5. Reporting and Documentation
- Preparing contract and procurement reports
- Responsible for developing and maintaining a contracts database or register that captures life-cycle requirements for easy reference and management of operational and commercial obligations
- Compiling management reports, monitoring savings, and ensuring procurement targets, such as those required by regulatory bodies, are met and reported annually
- Provide insights and recommendations based on data analytics to improve the current performance status.
6. Safety and Social Responsibility
- Comply with current Mining Safety and Health regulations and Loss Prevention procedures, considering the health and safety impact of all work-related decisions.
- Demonstrate social awareness, commitment, and compliance with the company's Social Responsibility Policy.
Job requirements
Qualifications and experience
- Hold a Bachelor’s degree in Supply Chain Management, Business Management, Engineering, Finance, or a related field.
- Have at least 3 to 5 years of professional experience in Contracts and Procurement leadership roles, preferably in a mining or heavy industry environment.
Technical skills
- Strong computer skills, including proficiency in office software like Excel, Word, PowerPoint, SharePoint, and enterprise-level software such as Coupa are essential
- Ability to create and execute comprehensive procurement strategies for the respective OPEX category.
- Proficiency in identifying, evaluating, and managing a diverse range of suppliers, including Original Equipment Manufacturers (OEMs)
- Strong negotiation skills to secure favorable terms and conditions, including warranties, limitation of liability, remedies, indemnities, and payment terms
- Capacity to assess data, technical requirements, and market trends to inform strategic decision-making.
- Ensuring compliance with corporate policies, procedures, and sustainability initiatives.
- Commitment to optimizing processes, potentially through digitalization, and applying best practices in procurement.
- Excellent communication skills to engage effectively with all organizational levels.
- Contributing to the development and implementation of risk management strategies.
- Ability to lead and support a team, fostering collaboration and clear priorities to achieve common goals.
