Watu Wetu SAS, WW SAS in acronym, is a company under Congolese law operating in Kolwezi, capital of the province of Lualaba in the Democratic Republic of Congo, with the main activity of managing a medical service for businesses and A training center. WW SAS serves the companies Kamoto Copper Company SA and Mutanda Mining SARL which are its main shareholders.

The company covers the medical care of all employees of these two companies as well as their family members.

WW SAS comprises three facilities, namely Watu Wetu Clinic in Mumi, Watu Wetu City Site and Watu Wetu Hospital in KCC. With additional services provided by third-party healthcare facilities for employees and dependents located in Lubumbashi and Kinshasa, as well as those referred for specialized treatment not available in Kolwezi.

Watu Wetu SAS provides health services to a population of approximately 70,000 people.

Job Description

 

Under the supervision of the Supply Chain Superintendent , the Supply Chain Coordinator is responsible for supporting Watu Wetu's operations by coordinating the smooth running of supply chain services (non-medical products), from establishing and monitoring the process of service provision contracts to their signature. He/she also supports the Head of Department and other departments by providing various tools, goods and services for quality administrative work, and by collecting and processing the information necessary for good communication with WW service requesters.

 

He will have, among other things, the following responsibilities (non-exhaustive):

 

  • Ensure proper coordination of the procedure for obtaining and drawing up contracts for the supply of goods and services in the interest of the Company,
  • Ensure the proper functioning of the entire supply chain for non-medical products
  • Ensure the updating and/or backup of data, information, and various inventory management files.
  • Ensure that your team uses the database management software correctly
  • Update existing administrative procedures and propose new ones to management as needed for various programs and activities;
  • Ensure that the tasks and responsibilities of the members of his team are carried out;
  • Plan and propose to his/her hierarchy the training needs of the staff under his/her supervision;
  • Assist management in performance evaluation.
  • Receive users of its services for various concerns, resolve them as far as possible or direct them according to their concerns to the relevant services.
  • Organize and participate in department meetings.
  • Draft and submit to the hierarchy the reports relating to his department,
  • Assist in the development of the departmental budget
  • Participate in the development of specifications for various departments
  • Prepare, in accordance with the procedure in force, all elements relating to calls for tender to be submitted to the hierarchy,
  • Follow the system approval process for the various service or goods acquisition projects,
  • Archive all documentation relating to the contract with suppliers and all supporting documents for its department.
  • Ensure the validity, expiry and renewal of service contracts,
  • Participate, as needed and if necessary on delegation, in meetings that end users organize with contractors for clarifications
  • Collect requirements from different departments in the system, initiate orders in collaboration with user services and submit them to the approval chain.
  • Support the hierarchy in the negotiation, creation and monitoring of contracts for the supply of various services and goods in collaboration with user services, in accordance with the relevant procedure and under the supervision of its hierarchy.
  • Liaise closely with users to determine their requirements in order to provide timely input into the procurement process on a daily basis and assist in obtaining relevant quotes to meet site/user requirements.
  • Advise users on suitable items of acceptable quality at the most cost-effective prices.
  • Receive purchase requests from relevant users and ensure that their requests are completed and authorized by management and in accordance with the established SCM procedure.
  • Ensure the conformity and validity of orders, by providing all supporting information and making all necessary modifications.
  • Handle all questions relating to operations-specific purchasing processes and procedures.
  • Ensure that the required request is loaded into the system and follows the required approval chain.
  • Prepare orders to be approved by your hierarchy and assign requests in the system
  • Ensure that all orders are placed within the time limits for procurement.
  • Communicate order delivery dates, shipping times, any additional delays and any other necessary information to users to enable them to properly plan the necessary projects accordingly.
  • Follow up on all outstanding orders and take appropriate action.
  • Receive inquiries and resolve any potential delivery issues.
  • Work closely with buyers as a team and provide additional support to the relevant department.
  • Assist shippers to streamline tracking of current orders and maintain order closure.
  • Develop and maintain close working relationships with internal customers and suppliers, both locally and internationally while respecting established procedures.
  • Ensure proper stock management and avoid stockouts at all costs and keep all related documentation up to date,
  • Organize inventories regularly           
  • Coordinate deliveries and customs clearance of manifests arriving on site.
  • Ensure compliance with systems, policies and procedures,
  • Write and submit to his/her hierarchy weekly, monthly, quarterly, half-yearly and annual activity reports
  • Protect employees by adhering to infection control and safe work procedures and protocols.
  • Coordinate the regular availability of work clothes or uniforms to all employees as needed.
  • Ensure that staff, including subcontractors under its responsibility, participate in mandatory or approved occupational health and safety training programs.
  • Ensure that staff in their department have the information, instructions, training and supervision they need to work safely.
  • Ensure that all risks and incidents within the department are reported and investigated appropriately and that adequate controls are implemented.
  • Take necessary measures to ensure the good health and safety of yourself and others within your department.

 

Job requirements.

 

Qualifications and experience.

 

  • Be of Congolese nationality.
  • Have at least 5 years of experience in the field of hospital administrative management and logistics.
  • Have 5 years of university studies in management, economics, good knowledge of logistics.
  • Fluency in spoken and written French
  • Fluency in Swahili
  • Knowledge of English is an asset
