Job description.

 

 

Reporting directly to the Manager – Project Controls & PMO, the incumbent will support the Project Controls & PMO function in coordinating project governance, approval processes, reporting requirements , and PMO activities across the investment project portfolio. He/She will ensure compliance with established governance requirements, the completeness and timely submission of required documentation, and the follow-up of actions and approvals through to completion. The position will work closely with Project Managers, Project Controls teams, and other stakeholders to ensure the consistent application of project management standards, improve compliance with governance requirements, and contribute to the efficient execution of the project portfolio.

 

 

 

His responsibilities will include, but are not limited to:

 

  • Coordinate and monitor compliance with project governance requirements ; this includes monitoring governance requirements, approval processes, and the various project validation stages.
  • Monitoring project submissions, approvals and actions includes verifying the completeness of files, tracking pending documents and approvals, and identifying and escalating late or non-compliant items.
  • Coordinating submissions to governance bodies includes preparing and consolidating files for the Steering Committee. Committees and other governance forums, as well as monitoring the schedule and submission deadlines.
  • Ensuring follow-up of decisions and actions resulting from governance meetings includes recording decisions, actions and conditions of approval as well as monitoring their implementation until their closure.
  • Coordinating activities and information between the PMO, Project Controls and Project Management teams includes the flow of information relating to projects, approvals, governance requirements and ongoing actions.
  • Maintaining PMO documentation and records includes keeping project records, governance trackers, approval documents and other records necessary for portfolio tracking up to date.
  • Ensuring the quality and availability of project documentation includes checking the completeness, conformity, traceability and accessibility of documents in accordance with established requirements.
  • Contributing to the improvement of PMO procedures and standards includes reviewing and improving procedures, templates, guidelines and tools used to enhance the efficiency and consistency of PMO processes.
  • Supporting portfolio reviews, audits and requests for information from Management includes preparing and consolidating information necessary to monitor the performance and governance of the project portfolio.
  • Supporting Project Managers and Project Controls teams in applying PMO requirements includes communicating applicable processes, standards, models and requirements, as well as monitoring their implementation.

 

Job requirements.

 

Qualifications and experience.

  • Hold a university degree or equivalent in engineering, project management, finance, business analytics, data analytics, information systems or a related discipline.
  • Having a project management certification such as PMP, PRINCE2 or equivalent is an advantage.
  • Have a minimum of three (3) to five (5) years of relevant experience in PMO, project coordination, project governance, Project Controls or in investment project management.
  • Possess experience in coordinating project approvals, governance processes, project documentation and management reporting .
  • Possess a good understanding of the project lifecycle, stage gates , and project governance requirements.
  • Experience in coordinating multiple projects and stakeholders simultaneously.
  • Experience in a mining, mineral processing, engineering or investment project environment is an advantage.

 

Technical skills.

  • Possess a good understanding of project management principles and the functioning of a PMO.
  • Possess a good understanding of project governance processes, stage gates , and approval processes.
  • Proficiency in Microsoft Excel, PowerPoint and Word tools.
  • Possess strong skills in document management, action tracking and project reporting .
  • To be able to prepare clear and structured reports for Management and governance bodies.
  • Being able to effectively maintain and use project registries, trackers, governance calendars and monitoring tools.
  • Practical knowledge of SAP, SharePoint, Power BI and project management systems is an advantage.
  • Being able to identify, track and escalate non-compliance situations, delays and outstanding actions.
