Job Description

 

 

Reporting to the Transformation Management Office Manager , the incumbent will be responsible for providing effective and efficient administrative support. He/she will be responsible for all administrative functions of the portfolio under the supervision of the TMO Manager. This includes meeting management, documentation management, monitoring of identified critical initiatives as well as administering procurement processes. The incumbent is also expected to support the evolution of the TMO and contribute to establishing a culture of proactive, efficient and high-quality delivery.

 


He/She will have, among other things, the following responsibilities (non-exhaustive):


 
•    Meeting and agenda management: Planning, organizing, taking notes, distributing minutes and monitoring decisions and actions.
•    Project scheduling: developing and updating project timelines, as well as administering the project management server.
•    Event coordination: Logistical and administrative organization of internal events linked to projects.
•    Project Log Tracking: Recording, updating, tracking and maintaining project activity and decision records.
•    Procurement Process Administration: Monitoring the complete “Procure to Pay ” cycle, compliance of contracts with business cases and alignment of payments with purchase orders.
•    Project management support: Work monitoring, administrative support, task planning and assistance with daily project management.
•    Document management: Uploading, updating and archiving of project and committee documentation (e.g.: Teams, SharePoint).
•    Budget and timesheet tracking: Support for forecasting, budget tracking, expenses and timesheet management.
•    Project Portfolio Administration: Support for estimating initiatives, developing the Work Breakdown Structure (WBS), updating schedules and portfolio roadmap.
•    TMO Tools and Systems Management: Administration of tools like PWA, PowerBI , SharePoint, Teams, ThinkCell , and monitoring of data refresh.
•    Governance Support: Participation in monthly processes, management of project artifacts and support to managers in maintaining deliverables.

 

Job Requirements 


Qualifications and experience

 

•    Have a university degree in project management, business administration, engineering, computer science, information technology or similar field.
•    Have at least 3 years in a similar or related role (project control, planning, financial analysis of projects, project coordination).
•    Experience in a complex or technical project management environment, particularly in the mining industry, is highly desirable.

 

Technical skills.

 

•    Good understanding of project management methodologies and tools.
•    Excellent oral and written communication skills.
•    Excellent interpersonal communication skills to foster effective collaboration.
•    Proficiency in Microsoft Project, Enterprise Project, Planner and Project Online.
•    Knowledge of SAP, MS Visio, MS Teams, SharePoint and/or other cost, schedule, risk and collaboration management tools.
•    Experience with other online project management platforms and good command of the Microsoft suite (MS Office).
