Job description.

 

 

Under the supervision of the Administration Manager , the incumbent will be responsible for verifying administrative information, conducting internal and field investigations, and ensuring data accuracy to support decision-making, ensure compliance, and enhance operational efficiency. The position includes validating supporting documents, coordinating with the various departments (Camp, Administration, Transport), as well as supporting audit activities, report writing, and logistics.

 

He/She will have, among other things, the following essential functions (non-exhaustive):

 

•    Verify the authenticity of administrative documents, including invoices, delivery notes, timesheets and service reports;
•    Ensure all required approvals and supporting documentation are in accordance with company policies;
•    Carry out checks relating to asset allocations, the performance of services or the presence of subcontractors;
•    Conduct internal and external surveys as needed (e.g. censuses, housing surveys, service satisfaction);
•    Compile, analyze and communicate survey results to management;
•    Identify deviations or anomalies noted during checks and propose corrective actions;
•    Prepare periodic audit and investigation reports for management;
•    Maintain detailed, organized and up-to-date records of all audit and investigation activities;
•    Collaborate with HR, Logistics, Finance and other departments to ensure reliable flow of information;
•    Act as an intermediary between the company, service providers, subcontractors and employees in the context of audits or investigations;
•    Report any non-compliance or anomaly, in accordance with the escalation protocols in force;
•    Support continuous improvement initiatives for administrative processes;
•    Ensure compliance with company policies, internal procedures and legal requirements in all audit activities;
•    Recommend improvements to documentation, archiving and investigation practices.

 

Job requirements .


Qualifications and experience.

 

•    Hold a university degree or equivalent in Administration, Finance, Accounting, Management or a related field;
•    Demonstrate 2 to 3 years of experience in functions related to administrative, financial verification, auditing or investigations;
•    Have a good knowledge of standards regarding documentation, compliance and internal controls.

 


Technical skills

 

•    Be attentive to details and have an analytical mind;
•    Have excellent oral and written communication skills;
•    Demonstrate high integrity and discretion in the management of confidential information;
•    Be able to work independently and manage multiple priorities simultaneously;
•    Demonstrate rigor and objectivity;
•    Master investigation, verification and audit techniques;
•    Possess computer skills, particularly Word, Excel, SAP or ATS, etc.
